Meubelbeurs Brussel VZW is one of the biggest organizers of furniture exhibitions in Europe.
This exhibition brings together a unique blend of contemporary, ethnic and classic furniture during a 4 days event, promising to deliver the best collection of furniture coming with affordable price tags. The furniture fair takes place in Brussels which is the ultimate location for exhibitors to present their new collections. This yearly event attracts thousands of visitors and exhibitors who assemble in this annual event to get the best out of their deals. The Meubelbeurs of Brussels boasts of the presence of many international names in its list of exhibitors and has gained a prime position in the furniture industry.

Business challenge

Meubelbeurs asked Brightfox to implement a CRM platform where all stakeholders of the exhibition could be stored and managed (exhibitor, visitor, VIP). The biggest challenge to organize an international fair is to manage all logistic activities. The implementation of an automated sales process and marketing tool was needed to establish an optimized interaction with their stakeholders. Sending multi-lingual quotes to exhibitors, allowing personalization but based on one generic template. Creating tickets for the visitors, by using a tag-generator.
Ticket validation and visitor tracking via on-the-spot ticket scanning. Integration with their back-office (Accountancy software) to generate invoices. Implement reports and dashboards that give the right insights for the management team.

Approach & Services

Brightfox has implemented a CRM platform to manage all stakeholders of the exhibition: Exhibitors, Visitors, VIP.  Via an integration between Salesforce.com and the corporate website (Wordpress engine) a setup was established to capture new orders from exhibitors. Orders (Vademecum) are processed in Salesforce.com and converted into invoices, which are directly sent to the back-office accountancy software (Winbooks). Ticket creation for visitors using a tag-generator. Via a customized “app” Meubelbeurs was able to validate the tickets with their own smartphones and have the real-time visibility on the “visitor tracking”. Implementation of reports and dashboards that give the right insights for the management team, including stakeholder analysis.
